What You Need to Know About Updates Coming This Fall

In just a few months, Nexus, our project that is advancing the technology we use for employee-related information, will go live. This go live includes implementing 3 software tools: Workday, UKG Pro Workforce Management and Employee Center.

A project of this magnitude has and will continue to call for dedicated support to get us over the finish line. To help everyone build skills to be successful with these software tools, we have adjusted several Human Resources and Finance business cycles planned for this fall.

Here is an overview of those changes.

Performance Management Reviews Deferred in 2025

We will not hold formal performance reviews at Carilion for fiscal year 2025.

While this action is uncommon, it is not unprecedented. We are committed to supporting you as you learn new skills and incorporate new technology into your daily tasks.

Although traditional performance management reviews will not occur, plans for January pay increases remain. You will hear more about those plans toward the end of 2025.

You and your leaders should move forward with the following tasks: 

By Sept. 30, 2025

  • All employees should continue to use the feedback, conversations and goals tools in Cornerstone.
  • Everyone must update and finalize their FY25 goals in Cornerstone.

Starting Oct. 1, 2025

  • You will begin using Workday tools for feedback, manager check ins (formerly conversations) and goals.

By Dec. 31, 2025

  • Everyone should enter at least one operational goal that is tied to our organization’s scorecard and one developmental goal in Workday.

Engagement Surveys Will Not Occur in 2025

In a related decision, we will not perform a full employee engagement survey this year; however, we will conduct an RN survey in January 2026 to support our Magnet designation. 


Data Freezes and Year-end Closing

A large amount of data must be transferred from our old systems to the new ones before our UKG Pro Workforce goes live Sept. 21, and Workday and Employee Center go live Oct. 1.

To successfully make the cutover, there will be several data freezes beginning July 27.  A few key dates are:

  • July 27 – Pause in organizational and compensation changes begins with data freezesThe Last Day List on the Nexus hub has further details and a list of data freeze deadlines.
  • Sept. 17 – The final day to submit all invoices and liabilities due for inclusion in year-end financials. This includes Nexus go-live and Crystal Springs Tower expenses. This is a shift from the typical dates. 
  • Sept. 22 – No new hire orientation. The last orientation date before going live is Sept. 8; orientation picks up again Oct. 6.

Annual Benefits Open Enrollment

This year’s annual benefits open enrollment will be Wednesday, Nov. 12 – Tuesday, Dec. 2, 2025. The later date allows our teams 3 full pay periods using Workday before starting open enrollment.

Additionally, since this will be our first systemwide use of Workday post go-live, you will have 3 weeks to select or update your benefits instead of the traditional 2 weeks.
