Know Which Tools To Use for Remote Work

If you’re working remotely, you may have questions about which telework tools will work best and which are supported by TSG. Here’s a list of tools to use in different situations.

Teleconferencing

• Use Microsoft Teams if all attendees are Carilion employees.
• If some attendees are not Carilion employees (for example, vendors), use Cisco WebEx.
• Verizon Conferencing is a voice-only option that can be used as a back-up if Teams and WebEx services are not available. It requires additional steps to set up a leader and participant PIN.

 Chat

• Use Microsoft Teams for individual or group chat between Carilion employees that does not involve PHI. You can even send pictures and file attachments.
• Use PerfectServe for clinical discussions and when the discussion involves PHI.
• Regular text messaging (SMS messaging) is not secure and should not be used. 

Document Collaboration

• Use Microsoft Teams to collaborate with other Carilion coworkers. Microsoft Teams allows more than one person to work on a document at the same time.
• Use Cisco WebEx to collaborate on documents if you need input from people who are not Carilion employees. With this option, one person can edit the document at a time; other attendees can see the document being edited.

 File Sharing

• Use Microsoft Teams to collaborate with other Carilion coworkers.
• Use Microsoft OneDrive for personal files that need review by others.

 Document Scanning

• Use Microsoft Lens to scan documents with your smart phone. Microsoft Lens has built-in integration with Microsoft Office.

E-Faxing

• Use Microsoft Outlook for e-faxing. Compose an email using Outlook, and attach the document that you need to fax. In the recipient email address, use the format (fax number)@fax.carilionclinic.org. You’ll receive a confirmation email reply to let you know if the fax was sent successfully or not.

 Telemedicine

• Vidyo is the preferred telemedicine platorm for all Carilion providers and caregivers. Vidyo is fully supported by TSG and Health Analytics, and we have training and job aids available. Vidyo clients are available for Apple, Android, Mac and PC.

• Zoom, FaceTime, Doxy.me and other apps have not been validated or tested. These apps have security and privacy concerns and are not recommended or supported by TSG and Health Analytics.
