Ordering
Q. We've had a problem with items not arriving from the warehouse. when I called, I was told they were delivered. What do I need to do?
A. Logistics drivers complete a Goods Delivery ticket when they deliver the order. It's similar to proof of delivery like you get with external delivery sources except we don't currently require signatures. It shows the requester, deliver to department, and deliver to address. If you are not receiving items from the warehouse, you may want to reach out to Craig Bryant. He can view the Goods Delivered information.
The requester needs to always make sure they are choosing the correct Requesting Entity so the Deliver-to is accurate for them, and if it isn't (or there isn't a clear enough requesting entity for them) they should put in a Report an Issue ticket with TSG to get one created.
As an additional note - orders generated on October 1 had some issues with unclear deliver-to details, it is fixed, but those old orders are a struggle for logistics to get to the correct destination. They are calling the requesters directly to contact them to get the goods to them, so if it was an order from day 1, that may also be part of the challenge.
Q. How do I order inventory product requests during the Lawson MSCM and RQC downtime between September 15, and October 1, 2025?

Q. For requisitions, are the spend categories taking place of the expense codes that we currently use?
A. Essentially, yes, but there isn't a 1:1 cross walk. It’s meant to be more intuitive.
Q. Here at Home Health and Hospice we have McKesson supplies delivered to the Patient's home as well as bulk orders placed for the office's supply rooms. How will this be handled?
A. Home Health and Hospice ordering delivered directly to a patient's home will continue as you do today via the McKesson site. Processes also should not change on the invoicing side, these will continue to be processed via upload.
The Punchout is only really for the family practice ordering where McKesson does direct to desktop deliver at their locations.
The Purchase Order and Invoice Processes
Q. It is my understanding that as of October 1, 2025 – all invoices must reference a valid Purchase Order (PO) issued by the procurement team. I am trying to find out what exactly the new process is so that I can make sure I am doing everything correctly when submitting invoices.
A. I highly recommend you complete the Create Requisition in Workday training on CSOD. This walks you through the entirety of the process for the Workday electronic system that replaces the MMR, Jira Portal, etc. This new process of creating a requisition in Workday is the only way to obtain a purchase order come 10/1 - the old MMR/Jira processes will be disabled and will not longer be a viable option for obtaining a purchase order.
As for invoices, they need to be routed from the supplier directly to AP. You shouldn't be in between the invoice coming from the supplier and making its way to AP - as heads up, this was and is being communicated to all our suppliers via mass physical and electronic mailing monthly since July and until January.
The new procurement policy, which you can read a copy of on Sharing Policies with Staff | Inside Carilion, requires a purchase order to exist in order for us to pay any invoice coming to AP (with a list of exceptions in the Allowable Invoice Only Transactions section of the policy).
If its for a one off transaction, or monthly allotted transactions, you still need a requisition unless you have already worked with Jennifer Thomas and Crystal Banks teams to setup an automated process for those orders which generates standing POs or contracts in Workday for payment to happen against on a bulk cadence. If you currently do not have that setup, I would prepare to submit requisitions for all your ordering needs come go-live and work closely with Jennifer and Crystal to evaluate your options post go-live.

Inventory Request Freeze
From September 12 to Oct 1, 2025, the Lawson process of placing routine inventory and supply orders will be temporarily paused and then discontinued. There will not be any disruptions to supplies so do not “stock up” on supplies and items you order from the Warehouse and Storerooms. There is no need.

Freeze on Purchasing Non-Stock Items
Starting September 23, the current Lawson P.O. process used to purchase non-stock (Non-Warehouse and Non-Storeroom items) will temporarily freeze and then transition over to the Workday process Oct 1.
