What You Need to Know About Certifications and Licenses in Workday

If you weren’t able to attend the recent Nexus@Noon education session on Certifications and Licenses in Workday, here are the highlights. The session was recorded, and you can find it on the Nexus hub.


First Things First: What 'Certification' Means in Workday

In Workday, certification includes professional licenses, credentials, registrations, and magnet‑related certifications required for your role (for example RN, LPN, EMT, ARRT). Even items you used to think of as “licenses” are now managed under certifications.


What’s New

If you hold a certification or license required for your role, it's up to you to keep it up to date in Workday. Here’s how the process will work:

Workday will automatically send you reminders starting 30 days before expiration, with more frequent alerts at 15 and 7 days. A Workday task appears 10 days out. Workday will continue sending reminders until your certification is renewed, submitted, and verified.


What You Need to Do

To Renew an Existing Certification:

  • Edit the existing certification in Workday. Do not add a brand‑new one unless it’s truly new.
  • Update the expiration date.
  • Upload proof of renewal showing the certification has been officially renewed and the new expiration date.

To Add a New Certification:

If you earn a new certification or change states (for example, moving from a North Carolina license to a Virginia license), you’ll need to add it in Workday.

  • Search by certification name or issuing organization
  • Certifications are often listed by state or issuer
  • If you absolutely can’t find it, Workday allows you to manually enter the certification details

How to Get Proof of Your License

Many certifications are available through:

  • Issuer portals (where you can log in and download proof)
  • Public state databases (such as Virginia license lookups)

Screenshots from these official sources are acceptable, as long as the expiration date is visible.


HR Verification & Approval

After you submit or update a certification, it goes through a brief HR verification process. Once approved, certifications appear in Workday in real time and are visible to you and your manager.
