Leader Guidance: Using Technology for Remote Work

As we continue our response to COVID-19 within our organization, we are developing a plan for employees who may need to work remotely. If we need many employees to work remotely, this may require a phased approach. We will communicate policies and processes for remote work as soon as we have them in place.

Meanwhile, some employees may already be working remotely. If you have employees who are working from home, please communicate and reinforce the following technology guidance:

  • Employees should not remove Carilion desktop computers or telephones from Carilion sites. These devices are not configured to work outside the Carilion network and will not work as expected from home. If an employee has already removed a desktop computer or telephone, we ask that they return it to its original location as soon as possible.
  • We are finalizing additional asset configurations to facilitate remote work. These configurations will be necessary to ensure Carilion assets perform optimally outside of our network and that all information security protocols are in place to protect our patient and organizational data.
  • If you have essential personnel, be sure those are reflected on your operational continuity plans that are being submitted to Chris Turnbull.
  • We will be working with the Incident Management Team to assess the operational continuity plans and prioritize equipment and rollout of remote work as needed to support clinical and operational needs.
  • Validate with your employees that they meet the technical and logistical requirements to work from home: Remote Work Eligibility Criteria.
  • Employees who take equipment home will need to complete an Asset Tracking Form and sign a Work Confidentiality and Security Policy Acknowledgement form. These forms will be available in the coming days.
  • Authorization for remote work does not guarantee access at all times or for unlimited periods of time. As more resources move to access Carilion systems remotely, network and internet capacity may become constrained necessitating the coordination of access via shifts.

Technology requests are being coordinated with the Incident Management Team for approval and prioritization.
