Key Things to Know About 2025 Tax Forms

W‑2 season is here. We know tax documents can bring questions, so we want to share a quick overview of what to expect with your 2025 Form W‑2.

When will W‑2s be available?

W-2s are available now.

Where can I find my W‑2?

Your W‑2 is available in Workday:

  • Log in to Workday and look for the Timely Suggestions block on the homepage, or
  • From the top left Menu, select Benefits and Pay, then My Tax Documents.

If you elected to Go Paperless, you will not receive a mailed copy. If you did not, your W‑2 will also be mailed to your address that is listed in Workday. You should receive it by Monday, Feb. 15.

What if I haven’t received my W‑2 by Feb. 15?

If you recently moved and didn’t update your address in Workday, delivery of a paper W‑2 may be delayed. In most cases, the fastest option is to log in to Workday and access your W‑2 directly. Be sure to update your address, too!

What pay is included on my 2025 W‑2?

Your 2025 W‑2 includes paychecks with check dates from Jan. 1 through Dec. 31, 2025. The IRS uses the check date, not the pay period end date.

Why do I have more (or fewer) W‑2s than last year?

  • If you worked or lived in more than one state, you may receive multiple W‑2s—one per state—for filing purposes. Your federal wages will appear on only one W‑2. 
  • With Workday, employees typically receive one W‑2 per employing entity, even if they had more than one role. Hours worked at other facilities are used for accounting but don’t automatically generate additional W‑2s unless you were formally hired under more than one entity.

Why don’t my W‑2 wages match my last pay statement?

Items such as pre‑tax retirement contributions, health insurance premiums, and employer‑provided life insurance over $50,000 can affect the taxable wages reported on your W‑2 compared to your final paycheck. 

A note about overtime and 2025 taxes

You may have heard about the “No Tax on Overtime” provision, which allows eligible employees to exclude the overtime premium portion (the extra 0.5) from federal taxable wages for tax years 2025 - 2028. 

2025 was a transition year and the IRS did not update Form W-2 to add an overtime field. Employers were not required to separately report overtime in 2025, and Carilion's prior Infor/Lawson system did not support payroll reporting to this level of detail. Employees can still deduct overtime, using payroll records such as pay stubs. The IRS has published guidance about this, and you should consult a tax advisor if this applies to you. 

Qualified overtime will be reported on 2026 Form W-2.

Where can I find my 2025 pay stubs?

Pay stubs for Oct. 10 through the end of the year are available in Workday. After logging in, click the My Payslips button on the home page. 

Pay stubs for the rest of the year prior to Workday go-live are available in My Total Access. Click Bookmarks at the top left, then Employee Self-Service, then View My Check. Note that you must be on the Carilion network or use the Apps portal to view My Total Access.

The government no longer requires us to distribute the 1095 form, but you may request a copy if you need it. The 1095 form shows whether we provided health insurance coverage for you and any of your dependents.

To obtain a copy of your 1095, please log on to Workday, click profile > View profile > Actions > Benefits > View My ACA Forms and click View/Print. You will receive a download that can be printed and/or saved.
