Check Your Information in My Total Access by July 18
As we count down to Nexus—when Workday, the new UKG Pro Workforce and an expanded Employee Center go live—we are preparing to transfer data to Workday and need your help.
Please review your dependent and beneficiary information in My Total Access by Friday, July 18 to ensure accurate information is moved to the new system.
As a reminder, My Total Access is only available through the Carilion network. You can use apps.CarilionClinic.org if you’re remote.
Follow these steps to review important benefits-related items.
Dependent Information
(My Total Access>Bookmarks>Employee Self Service>Personal Information>Dependents)
Verify these items:
- Dependent date of birth
- Contact the HR Service Center at HRServiceCenter@carilionclinic.org if the dependent date of birth needs to be updated.
- Dependent relationship
- Stepchildren should be listed as “daughter” or “son.”
- Domestic Partner’s children should be listed as “DP daughter” or “DP son.”
- Social Security number
- Contact the HR Service Center at HRServiceCenter@carilionclinic.org if the dependent Social Security number needs to be corrected.
- If no number is provided and a Social Security number is available, add the Social Security number in My Total Access.
Beneficiaries
(My Total Access>Bookmarks>Employee Self Service>Benefits>Beneficiary)
- Verify/add beneficiary to Basic Life and Employee Supplemental Life benefits.
- When verifying/adding beneficiaries:
- If adding multiple beneficiaries, add each beneficiary separately (i.e., Mary and Joe Smith should be listed as 2 separate beneficiaries and not one combined beneficiary).
- List beneficiary amounts by percentage, not dollars.
- If listing multiple primary beneficiaries, the sum of the primary beneficiaries’ percentages must equal 100%. If listing multiple contingent beneficiaries, the sum of the contingent beneficiaries' percentages must equal 100%.
- A primary beneficiary should be named if also adding a contingent beneficiary.
Note: When you update your information in My Total Access (MTA) the entry will capture internally despite it still showing as blank after an update has been made.
