Open Enrollment 2023

Your annual benefits open enrollment is Nov. 1-15, 2022. It's the perfect time to review your current and new benefit options to choose what's best for you and your household in 2023.
You will be able to enroll in and make changes to your benefits through My Total Access during this time (see below for important notes about using My Total Access away from work). Any changes or selections you make will take effect Jan. 1, 2023.
Accessing My Total Access During Open Enrollment
To better protect your personal information, My Total Access (MTA) is only available through the Carilion network or apps portal (apps.CarilionClinic.org).
If you use the apps portal to log in to MTA outside of work, you will need to verify your log-in using the Imprivata ID app (multi-factor authentication). If you have not already registered with Imprivata ID, instructions and more information are available on the Multi-Factor Authentication page.
As a reminder, use the Firefox browser to successfully complete open enrollment in MTA. Using another browser may cause issues with enrollment and benefit changes may not save.
2023 Benefits Announcements
Plans and Premiums
We are happy to announce that the plan design and premiums for all benefits look similar to what was offered in 2022.
Medical premiums are based on your base salary as of Oct. 1. While the premiums won’t change, there’s a chance pay increases you received this year could put you in a different contribution tier. You can see all premium rates on the Contribution Summary.
Short-Term Disability (STD)
Based on recent feedback, The Standard (our STD administrator) has offered to waive the late enrollment penalty if you enroll in a STD plan for 2023 during open enrollment.
Normally, when you apply for STD coverage during open enrollment, your benefit waiting period for physical disease, injury, pregnancy, or mental disorder will be 60 days if you become disabled during the first 12 months after your coverage takes effect.
We offer two STD plans. Coverage for the standard STD plan begins after a 30-day waiting period and coverage for the buy-up plan begins after a 14-day waiting period. The late enrollment penalty will only be waived during this open enrollment.
Important: The waiver of the late enrollment penalty will only be offered this open enrollment.
Specialty Pharmacy
As a reminder, all specialty medications must be filled at Carilion Clinic Pharmacy’s Tanglewood location. If you are taking medications regularly, they may have already been switched to this pharmacy. For more information, please review this announcement from May.
Flexible Spending Account
- The Healthcare FSA annual max contribution will increase to $3,050 for 2023.
- The Dependent Care FSA annual max contribution will remain at $5,000 for 2023.
Tools to Help You Choose
Virtual Benefits Fair
While we still can’t meet in person, we are happy to host the virtual benefits fair for the second year. Starting Oct. 24, the fair will be accessible 24/7.
From wherever you are, in the a.m. or in the p.m., visit vendor booths virtually to learn more about your available benefits.
Tools and resources are available at each booth to help you with answers to your benefits questions from these plan carriers:

Check out the fair by Nov. 15 and be entered into a drawing for various door prizes donated by our vendors.
- When you visit five booths, a pop-up box will ask you to enter your email address.
- All prizes will be mailed to winners’ home addresses.
The fair is open all year for new hires and employees who become eligible for benefits and want to learn more.

Remember These Resources and Tips
- Complete the open enrollment checklist in My Total Access to enroll in benefits, sign up for direct deposit and acknowledge important reminders about your savings plans.
- Note: Social security numbers are required when you enroll your dependents.
- Use a Carilion computer that is connected to the network and the Firefox browser to successfully update your benefits and complete open enrollment. You may risk losing your benefits selections if you use another browser.
- To access My Total Access outside of a Carilion facility, use the apps portal at apps.CarilionClinic.org.
- For technical assistance with My Total Access, contact TSG at 540-224-1599 or 800-354-1599
- Update your home address, beneficiaries, phone numbers, etc. in My Total Access while you’re reviewing your benefits. We don't want you to miss important information we send out!
- Note: Update your beneficiaries for life insurance in My Total Access and for retirement savings plans through Principal.com.
- Create a plan for your future. Our retirement educator, Courtney Campbell at Principal, is available to help you better understand your personal retirement goals. Schedule free one-on-one sessions with Courtney through Learning Stream.
- Enroll or re-enroll in an FSA during benefits open enrollment. Your elections from last year do not carry over.
Key Dates to Remember
- Nov. 15: Open enrollment deadline—The enrollment system closes at 11:59 p.m. EST on Tuesday, Nov. 15. If you don't enroll, your next opportunity to make changes to benefits coverage will be next year's open enrollment period, or if you experience a qualifying event, such as getting married or having a baby in 2023.
- Dec. 2: Submit all documentation to Human Resources by this date.
- Dec. 16: You will receive a confirmation statement email of your 2023 benefits elections on this date. It is recommended that you print the statement for your records.
