Who do I contact for technical issues?

Contact the Technology Service Center (TSC)

NOTE: The TSC is not permitted to troubleshoot personal devices. If you are having trouble using a personal device to do your work, speak with your manager about obtaining a Carilion device to use at home. 

The TSC is also not able to troubleshoot Internet connectivity issues for your home or other external Internet connections.

How do I access Carilion programs and documents from home?

There are a few ways to access Carilion resources remotely:
NOTE: You'll need to use IMPRIVATA ID for verification. 

  • Access Carilion programs using the APPS PORTAL  (https://apps.carilionclinic.org) 
     
  • Access network documents (on the shared drive, for example) using the Carilion Desktop application on the APPS PORTAL  (https://apps.carilionclinic.org) 
     
  • Access documents using the OFFICE 365 PORTAL
    https://office.com

You will need to install the Imprivata ID app on your phone to access these resources.


How do I access EPIC or KRONOS?

These applications are available through the Apps portal but they require manager authorization. 

Ask your manager to submit an Access Request Form in Edison.

Note: Requests for remote access to Kronos need to specifically reference Kronos Timestamp.


What if there’s an application I need that ISN'T on the Apps portal?

Ask your manager to submit an Access Request in Edison if there's an application you need that isn’t available on the Apps portal.


How do I edit documents and check email when working remotely?

You can use the Office365 portal to check your email and create and edit documents using Microsoft programs like:

  • Word
  • Excel
  • PowerPoint

How do I conduct meetings with people in different locations?

Use Microsoft Teams to collaborate with Carilion and non-Carilion employees. 

Join from your Microsoft Teams desktop application, web browser (office.com), or your mobile device.


How do I check my Carilion Clinic voicemail remotely?

Yes, you are able to check your voicemail remotely.
Follow these steps to access your Carilion Clinic voicemail remotely:

  1. Dial 540-224-4199
  2. Press #
  3. Enter your 5 digit office extension number and press #
  4. Enter your voicemail password and press #
  5. Follow prompts to retrieve messages

How do I send a fax?

You can To send a fax from Exchange, do the following:

  1. Compose your message as an email.
    The subject and the body will appear on the fax cover sheet.

     
  2. In the recipient (To:) field, enter the 10-digit fax number and @fax.carilionclinic.org.
    For example, 15405551212@fax.carilionclinic.org.

     
  3. To include a document in the fax (.doc, pdf), attach it to the email.

You receive a confirmation email once the fax is complete.

How do I scan a document without a scanner?

Microsoft Office Lens is a smartphone app which enables you to use the camera on your phone to take a picture of a document.

  • Lens helps correct for shadows and odd angles to make your document images easier to read. 
  • With Lens, you can upload images to Word, PowerPoint, OneNote, OneDrive, and you can save them as PDFs or send them in email.

How do I keep confidential documents secure when working from home?

It is critically important to keep protected health information (PHI) and other confidential documents secure, especially when working remotely. Recommendations include:

Access confidential or patient information electronically.
Do not print hard copies or screen capture protected information.

Secure all Carilion devices so they cannot be accessed by anyone other than yourself.
Password protect your devices and lock your devices when leaving them unattended.

Store confidential or patient information only on secure Carilion network drives.
Don’t store information on removable media such as memory sticks or jump drives.

Make sure your anti-virus and firewall protection up-to-date
if you use a personal device to access Carilion applications.
