1. Identify employees that can work remotely.

During the current Coronavirus pandemic, leadership teams have coordinated with the Incident Command Center to determine which personnel need to work onsite and which can work remotely. You may have been asked to evaluate your team’s ability to work remotely.    

For guidance on making decisions about remote work requests, talk to your leadership team.


2. Know your department’s requirements for remote workers.  

As a leader, you should outline requirements based on business needs as requirements for remote work are department specific. Consider creating remote worker guidelines.  You can communicate this to your team using a temporary arrangement and document through an email. 


3. Direct employees to complete Asset Tracking and Confidentiality forms.  

  1. Direct employees who need to take equipment home to print and complete the Carilion Clinic Asset Tracking Form with the asset numbers (IS tag) of the hardware. 
     
  2. Talk with your employee to discuss other items they might need to take home like headphones, monitors, keyboards, and mice. If your employees need additional hardware, you can submit a hardware purchase request through Edison.
     
  3. Direct any employees who work remotely to complete the Confidentiality & Security Policy Acknowledgement form.
     
  4. At least 24 hours prior to the employee leaving the facility, managers must submit a request to have an employee’s desktop configured to work remotely.  

To do this, visit Edison:

  • Go to Request Services>Computer Hardware and Equipment Services>Carilion Desktop Remote Capability
  • Put in the following:
    Requested by [manager info] > Requested for [employee’s info] > Next > Confirm Yes, employee is essential; Yes, user signed Security and Confidentiality Acknowledgement form (attach completed form); Yes, user completed asset tracking form (attach completed form); provide user asset tag number) > Next > Review and Submit

Note: You can provide this Work from home instructions packet to employees who need to take home Carilion desktop computers.  


4. Establish a check in system. 

Set expectations with your team on communication, frequency and timing. For example, you may direct your team email twice daily: 

  • In the morning with their plan for the day.
  • In the evening with what they accomplished. 

Whatever the frequency and approach, it’s important to set expectations for regular communication.
